Returns Policy

Foreword

This Returns Policy is a collective policy for all products sold by Guangzhou Kyotechs Machinery Co., Ltd (hereafter referred to as “Kyotechs”). For the purpose of this policy, the term “Kyotechs” will refer to both the company and its products.

Overview

At Kyotechs, we strive to ensure customer satisfaction with every product. If for any reason you are not fully satisfied with your purchase, we will be happy to assist you with our returns process. Please review the guidelines below to understand our return and refund procedures.

  • Return Time Frame: Our return policy is valid for 30 days from the date of purchase or delivery, whichever is later.
  • Post-30 Days: After this period, returns may not be accepted unless the item is faulty or under warranty.

Conditions for Returns

To qualify for a return, the following conditions must be met:

  1. The item must be unused and in the same condition as when you received it.
  2. It should be in its original packaging.
  3. You must provide proof of purchase (such as a receipt or order confirmation).

Handling Charge

A 10% handling fee may apply to any returns that are agreed upon by Kyotechs, and this will be deducted from your refund.

Made-to-Order (MTO) Items

Made-to-order (MTO) items are generally non-returnable unless there is a manufacturing defect or faulty workmanship. If you believe your MTO product is defective, please contact us directly for assistance.

Gifts

If you have received any gifts as part of your order, the return of these items will be at Kyotechs’ discretion. Please contact us for further guidance.

Exchanges

We offer exchanges for defective or damaged items. If you need an exchange, please email us at kyotechs@kyotechs.com to request an exchange for the same item.

Damaged Parcels

If you receive a parcel that is damaged, follow these steps:

  1. Sign as damaged: When signing for the parcel, please note the damage in your signature.
  2. Photographic Evidence: Provide clear photos showing the damage to:
    • The item.
    • Internal and external packaging.
    • The shipping label.
    • Any lost contents, with evidence of external packaging damage.

This will help us process your claim quickly.

Warranty Exceptions

Parts such as electrical components or drive motors may require testing before a replacement is issued. If you need a replacement part before testing, you will need to pay for the replacement and shipping charges upfront. Refunds will only be issued once the item has been tested and the defect confirmed.

Please ensure that all returns are shipped via trackable services. Return shipping costs are the customer’s responsibility, except for warranty claims or defective items. Return shipping is non-refundable.

If your returned item is of significant value, we recommend using a shipping service that offers insurance to protect against loss or damage during transit.

Collection of Returns

If you wish to arrange for a collection of your return, please email us at kyotechs@kyotechs.com. Kyotechs can arrange a collection through one of our carrier partners. However, collection charges will be passed on to the customer unless it’s a warranty return.

Refunds

Refunds will only be processed once the item has been successfully returned and inspected. Your refund will be credited to the original method of payment.

Late or Missing Refunds

If you have not received your refund:

  1. Check your bank account.
  2. Contact your credit card company; sometimes refunds take a few days to appear.
  3. Contact your bank to inquire about processing times.

Shipping

Kyotechs uses a range of shipping methods to deliver orders as quickly as possible. Although we make every effort to use next-day services where possible, delivery times may vary due to unforeseen factors (weather, traffic, etc.). Delivery delays caused by carriers will not typically result in a refund or discount unless there are exceptional circumstances.

Leave Safe Deliveries

If you request that your delivery be left at a safe location (without a recipient present), please note the following:

  • Kyotechs accepts no responsibility for missing, lost, or damaged items once the parcel has been delivered to the agreed location.
  • You must authorize the “leave safe” delivery at the time of placing your order. Once shipped, this request cannot typically be amended.

Calls Ahead

While we will do our best to accommodate requests for the carrier to contact you prior to delivery, Kyotechs cannot guarantee this will happen as our shipping partners are independent of the company.
